Xero bookkeeping

Xero can make financial activity easier to collect, but clean books still require judgment. We review suggested matches, reconcile the ledger to supporting records, resolve exceptions, and close each period with useful reports.

Where it fits

Who Xero bookkeeping works well for

01

Cloud-first businesses

Teams that want owners, operations staff, bookkeepers, and advisors working in one current organization from any location.

02

Connected app stacks

Businesses bringing sales, payments, expenses, documents, or payroll data into Xero from specialist operational tools.

03

Multi-user collaboration

A strong fit when several people need controlled access to invoices, bills, reporting, or financial administration.

Access and onboarding

Named access with the right permissions

Your organization administrator invites our named user and assigns the agreed role. Your team keeps the subscription, business ownership, and control over user access.

  1. 01

    Invite the bookkeeping user

Add our named account from your organization settings and apply only the permissions required for the agreed work.

  2. 02

    Review organization settings

We inspect the financial year, tax settings, chart of accounts, conversion balances, bank connections, lock dates, and tracking setup.

  3. 03

    Document the operating rhythm

We agree how documents arrive, who approves bills or payments, when questions are answered, and when each month is closed.

The monthly workflow

From activity to a finished close

  1. 01

    Connect

Gather bank lines, statements, invoices, bills, receipts, payroll reports, and app summaries for the period.

  2. 02

    Code

Apply documented bank rules where appropriate and review suggested matches instead of accepting automation blindly.

  3. 03

    Reconcile

Compare transactions and balances against statements, investigating missing, duplicated, or incorrectly matched activity.

  4. 04

    Close

Review receivables, payables, clearing accounts, payroll entries, tracking categories, and unusual balance movements.

  5. 05

    Explain

Deliver the reporting package with an exceptions list and a concise explanation of the period's important changes.

Cleanup and correction

Common problems we untangle in Xero

Suggested matches were accepted too quickly

We review the accounting treatment and supporting document, not only whether the amount looks similar.

The feed and ledger balances do not agree

We check statements for gaps, duplicates, deleted transactions, timing differences, and incomplete reconciliations.

App deposits hide fees, refunds, or liabilities

We rebuild the settlement flow so gross sales, fees, refunds, taxes, and net bank deposits are recorded separately.

The outcome

A Xero organization with reconciled balances, controlled automation, documented exceptions, and monthly reports grounded in the underlying records.

Questions, answered

Xero bookkeeping FAQs

Do I need to share my Xero password?+

No. Invite our named user and assign the agreed permissions. You remain in control of the organization and can manage access from your settings.

Do you automatically accept every suggested bank match?+

No. Suggested matches and bank rules save time, but unusual transactions, first-time vendors, transfers, refunds, and unclear activity receive human review.

Can you fix an existing Xero organization?+

Yes. We can scope a cleanup for unreconciled periods, conversion-balance issues, duplicates, suspense accounts, incorrect contacts, and inconsistent tracking.

Can you work with Hubdoc or another document app?+

Yes, if it is part of your current workflow and engagement scope. We confirm how documents are captured, approved, attached, and retained during onboarding.

Do all Xero plans include the same features?+

No. Invoicing limits, bill automation, bulk reconciliation, projects, expenses, multi-currency, analytics, and automation can vary by plan. We verify your subscription before relying on a feature.

Does this replace my CPA or tax preparer?+

Usually not. We maintain the books and deliver a clean year-end package so your tax professional can work from organized, reconciled records.
